Job Summary
The Coordinator of Continuing Education is responsible for performing administrative and operational functions that support the department's mission to deliver high-quality non-credit educational programs. This position ensures efficient coordination among faculty, staff, vendors, and university departments to facilitate program delivery and maintain compliance with institutional policies and procedures.
Duties
- Maintains and manages the continuing education database, ensuring accuracy and proper documentation throughout the lifecycle, including updating, modifying, and closing out records as needed.
- Prepares, processes, and tracks personnel documentation, business and financial documentation, including supply orders, contracts, purchase requisitions, vouchers, vendor setup, travel reimbursements, personnel transactions, P-Card reconciliations, and deposits, in accordance with university procurement and finance policies and procedures.
- Serves as the primary point of contact for student inquiries, providing guidance on course registration, payment, and alignment of continuing education opportunities with professional goals.
- Ensures data integrity and completeness of records across university systems that support continuing education programs.
- Collaborates with department leadership to develop, update, and implement standard operating procedures; develops and maintains the continuing education departmental operations manual.
- Maintains accurate records to support operational compliance and continuity
- Coordinates with internal university departments to support the planning and implementation of course content and logistics.
- Serves as a primary liaison for external communication, including with vendors and the general public, ensuring clear, professional, and brand-compliant messaging.

Qualifications
Required Education:
- Associates or post-secondary could be in a variety of fields as Continuing Education serves a wide array of disciplines
Required Experience:
- Minimum of three (3) years of related job experience
License/Certification:
- None
Preferred Qualifications
- Familiarity with PeopleSoft; familiarity with public university processes, procedures and policies; high quality customer service attitude and experience; experience with spreadsheets and building report materials (experience with Qualtrics a plus); flexibility in tasks and day to day functioning; team oriented; highly detail oriented; high quality follow through; experience in a small, Certified Meeting Planner
