Hiring Official completes UHD Requisition Form-Staff and External Advertising Sites Form for a vacant position and submits to Dept Administrative Staff
Dept Administrative Staff initiate Create a Requisition in Applicant Tracking System (ATS)
Requisition forwarded to appropriate levels for approval
Requisition forwarded to HR for review and approval. HR loads minimum qualifications as supplemental questions.
Position posted on default sites and additional paid sites (if requested). The department will add external sites to the posting in ATS. TA will request a vendor quote and send it to the department for approval. If the department approves, TA will coordinate with vendor post on the external site(s).
Applicants apply online.
Hiring Official and/or Committee selects desired candidates for interview (must meet minimum qualifications).
Hiring Official or delegate updates Applicant’s status in ATS.
Hiring Official and/or Committee conducts interviews, completes the Applicant Screening Matrix, and selects final candidate(s).
Hiring Official or designee conducts reference checks, updates the status of applicant(s) selected and creates Offer Card in ATS.
Offer Card forwarded to appropriate levels for approval.
HR extends contingent offer to Candidate.
Candidate accepts verbal contingent offer and completes background release.
HR conducts a background check on Candidate.
Candidate passes background check; HR sends digital offer letter to candidate in ATS.
Candidate digitally signs offer letter; onboarding process begins.
Requisitions requiring a Search Committee require the Affirmative Action Officer initial review and approval.
Unapproved Requisitions and Offers are returned to the department.
