The Event Services department is the University of Houston Downtown's "Reservations Hub". The department serves as the coordinating point for the effective implementation of arrangements for university and external conferences by working with service providers such as Hotels, Local Entertainment and Restaurants, Security, Facilities, IT/Media, and Parking. The primary responsibility of Event Services is to develop, market, publicize and coordinate various meetings, conferences and special events for the University and the external community.

To reserve, please fill out this Reservations Form and submit any additional forms necessary with the original authorized signatures in order to provide services for your event.
Our office is located in room 101-S, 1st Floor South of One Main Building which is accessible by both the Academic Building and One Main Street elevators.
Early openings and late closings, when possible, are available for after-hour and weekend events. There will be a charge for staff services. Requests and arrangements must be made and confirmed at least 10 days prior to an event with the Director of Event Services.
The Office of Event Services coordinates the reservation of campus facilities and aids in the management and providing of services for conferences and events. Some of the services provided include the reserving of facilities, setup of rooms, catering, hotel locations, police, and multimedia services. In order to request facilities or services you must fill out this Reservations Form. Listed below are additional forms with a brief description of the purpose and procedures.
Step 1: Submit an Event ROOM Request Online
Please fill out this Reservations Form and submit any additional forms necessary with the original authorized signatures in order to provide services for your event.
For modifications to events already submitted and confirmed (changes in date, time, room, description, etc.), email Janet Heitmiller. Please DO NOT resubmit the event using the online form.
All events held on the UHD campus by a registered UHD student organization must be attended by the Student faculty / Staff advisor at all times. Keys and access to all secured facilities or locked areas will only be checked out by and given access to by the Student Advisor/Sponsor.
Step 2: Complete and Submit Necessary Forms
Fill in the appropriate information and submit hard copies of the alcohol permit or police request forms and deliver to Community Relations & Conference Services at 101-S.
Step 3: Receipt of Confirmation
Once the appropriate room is assigned, you will receive an electronic confirmation of your completed event request.
If you need to reserve parking for your guest(s) on campus you must complete a Parking Request Form and submit it to the Parking and Transportation Services Office located in room 354-N. More information about parking is available on the Parking and Transportation Services website.
All requests for Police / Security services are coordinated through our office. To request Police Officer (s) be scheduled for your event you must complete a Request for Police / Security Service form and submitted to our office no less than ten (10) days prior to the date of your event. When Officers are assigned a, confirmation with all pertinent information will be sent to requestor directly from the UHD Police Department. If you plan to serve alcohol at an event held in one of UHD's facilities you must complete an Application for Alcohol Permit and submit it to the Office of Event Services in room 101-S. This application must be submitted no later than 30 days prior to the event.
If you need any multimedia or instructional television equipment for an event held in one of UH-Downtown's facilities you must complete a Multimedia Reservation form and submit it to the Multimedia and ITV Services office in room 700-A. You must also make note on your Request for Campus Facilities Use form that you are requesting multimedia equipment for your event.
If you are an organization, department or group selling, distributing or serving any food or beverage not served by the authorized campus food provider you must complete a Temporary Food Dealers Permit / Request Form.This form is to be filled out completely, signed and approved by the Safety Inspector at UHD, located in the Facilities Management Department located in room 101-South.You may reach him at (713) 221-8040. Once completed, it must be submitted to the Event Services office at least 7 working days prior to the date of your event for approval and confirmation.

The Office of Event Services schedules and reserves campus space and facilities for all of the rooms listed below. To reserve, please fill out this Reservations Form and submit any additional forms necessary with the original authorized signatures in order to provide services for your event.
We have a variety of facilities available for reservation including lecture halls, conference rooms, the Special Events area, the Wilhelmina Cullen Robertson Auditorium, Coffee House area, Willow Street Pump Station, Commerce Street Building, various classrooms and the UHD Veranda Deck.
