UHD implemented a soft launch of Dynamic Policy, a web-based policy tracking system, in late FY 2011 using a pilot group comprised of staff from all UHD divisions. Through the implementation of Dynamic Policy, the University of Houston-Downtown’s policy management system will be automated, providing an effective structure and the tools necessary to develop, review, organize, maintain, and distribute UHD policies and procedures.
Employees responsible for editing and approving policies are able to do so in a familiar MS Word environment within Dynamic Policy. Employment Services & Operations (ESO) moderates the process and serves as “owner” of all policies. Other roles such as “co-owner”, “reviewer”, and “approver” are assigned according to each particular policy. The process in Dynamic Policy begins with ESO uploading an existing or new draft policy and assigning all of the appropriate roles. Each reviewer and approver then edits or approves the policy as needed.
In the next few months, ESO intends on expanding the usage of Dynamic Policy to all staff and administrators involved in the UHD policy review and approval process.
